Administrative Assistant

Position:

 

As a key member of the office administrative team, will report to the GENERAL MANAGER and assume a strategic role in the overall office functions. This position will have primary day-to-day responsibility for planning, implementing, and assisting in daily job activities of the company. This will include direct responsibility PROJECT JOB FOLDER management, permitting jobs in multiple counties, filing of paperwork, Production paper work is in stock, setting Job schedule, and always evolving to take on further responsibilities.

Responsibilities:

 

Ensure all projects job folders are created and delegated to adequately trained staff for completion of projects afterwards gathering the job folders and ensuring the projects has been completed to all job folder standards and tier 1’s policy and standards; using a range of office software, including EMAIL, spreadsheets and databases ect. managing filing systems; permit projects as needed per contracts; developing and implementing new administrative systems organizing the office layout and maintaining supplies of stationery and equipment; maintaining the condition of the office and arranging for necessary repairs; delegating work to staff and managing their workload and output; writing reports for senior management and delivering presentations; responding to customer enquiries and complaints; attending conferences and training.

 

Qualifications and Requirements:

 

1+ years in administrative or assistant roles, preferably in construction industry.

Personal Attributes:

 

Strong interpersonal skills, ability to communicate and manage well at all levels of the organization and with staff at remote locations essential. Strong problem solving and creative skills and the ability to exercise sound judgment and make decisions based on accurate and timely analyses. High level of integrity and dependability with a strong sense of urgency and results-orientation.

Other Skills & Abilities: PC proficiency is essential (MAC & Windows environment) and strong working knowledge of permitting /licensing systems in different municipalities and Excel is preferred.
